Office Manager


Project Overview

We are looking for a motivated Office Manager to start ASAP.

At QMENTA, we strive to make brain diseases a thing of the past. With our powerful AI cloud platform and our state of the art machine learning algorithms, we take the most out of medical images in order to accelerate drug development and help experts and clinicians take precise and adequate decisions on the progress of a disease.

The challenge of this position is to complete tasks accurately in a limited time and resources. As a small startup, you will need to wear many hats and accomplish multiple tasks in parallel.

Roles and responsibility
  • Scan and archive documents
  • Responsible for migrating files between platforms
  • Collect invoices
  • Answer phone calls
  • Welcome visitors and accommodate them
  • Receive and collect deliveries from Amazon, Seur, MRW, UPS…
  • Order supplies
  • Assist in travel arrangement and meeting coordination (flights, accommodation, etc)
  • Schedule meetings
  • Internal communications
  • Address employees queries regarding office management issues (maintenance, stationery, cleaning, deliveries, heating)
  • Liaise with suppliers and find new providers
  • Maintain the provider database up to date
  • Maintain work environments and office supply inventory
  • Manage food/drink orders and assist with office events
Desired skills and experience
  • 3+ years of experience in office management, administration or equivalent
  • Bachelor’s or advanced degree in business administration or equivalent
  • Spanish and English with high working proficiency
  • Excellent communication skills, both oral and written
  • Computer skills (MS Excel, Word, PowerPoint, GSuite, Zoom, Jira)
  • Great attention to detail
  • Team player
  • Multi-tasker
  • Desire to work in a fast-paced startup environment
  • Able to keep confidentiality
